You said, we did: Three important changes to the CRM

You told us about the changes that you would like to see made to the CiviCRM and how you'd like data sharing to be easier. Here's what we did.

After listening to your feedback, we've been working to improve the CRM in a number of ways:

  1. Making it easier for you to share your research with us for those that use alternative systems
  2. Making the busy home page easier to navigate for users of the CiviCRM
  3. Making it appear more user friendly

As a result, we will be making changes to the permission levels so that you are able to only see what is relevant to you in your job role.

1. How to share research with Healthwatch England more easily

Earlier this year we told you how we'd like to work better with you to increase the level of feedback which we receive from across the network.

With your help, and the support of several local Healthwatch we are now ready to launch the import function so that you can share your data with us more easily. 

What is the import function?

The import function will now allow all local Healthwatch who are not using the CiviCRM to share all the rich data collected, helping the organisation to reach our goal of hearing from one million people a year by 2023.

2. Making the home page easier to navigate for users of the CiviCRM

After listening to your feedback, we've been working to improve the homepage navigation so that it's easier to use. 

As a result, we've made changes to the permissions levels so that your views are restricted, only showing what it relevant for you in your job role. 

What will happen next?

We will be rolling out these permission changes in the new year.

In the first instance, we will be selecting an administrator at each Healthwatch, where possible, so that permission levels can be changed internally. This individual will receive extra training in order to have a better understanding of the full navigation, and how they can help other members of staff navigate the CRM. 

Once this training has been complete, we will strip back the permission levels for everyone else. With the support from Healthwatch England, the administrators will grant you access to the areas of the CRM that are relevant for your job role. 

How do I know the permissions I need to do my job well?

As well as with the help of your administrators and Healthwatch England, we've put together the different permissions and their access levels below to give you an idea of the new navigational structure.

Administrator

This will be the display menu to users nominated to be the lead for your Healthwatch on the CiviCRM.

  • Add local fields
  • Add groups 
  • Add relationship types
  • Add tags
  • Create Activity types (within certain areas of the CiviCRM)
  • Create new users
  • Create new fields

CiviCRM user

Users with this permission level will be able to perform the following tasks:

  • Create and searches  for contacts
  • Create and find activities
  • Create and find cases
  • Find mailings  (unable to create or amend )
  • Find event participants ( unable to create or amend events )
  • Create and run reports

Events

Users with this permission level will be able to perform the following tasks:

    • Create events
    • Generate event reports
    • Manage events
    • Register event participants

    Mailing

    Users with this permission level will be able to perform the following tasks:

      • Create mailing
      • Generate mailing reports
      • Schedule mailing

      Volunteer

      Users with this permission level will be able to perform the following tasks:

          • Complete the feedback and signposting wizard
          • Create activities

          3. A new, simpler look

          You might have heard us talk about the new Shoreditch theme. This refers to a new change to how the CiviCRM looks, making it much easier to use. 

          What will it look like?

          Prior to the rollout date we will be setting up a demo system so that people can take a look at the new look before it's installed on their CiviCRM.

          When will it happen?

          This rollout will happen in three stages, to three separate groups. All of the Healthwatch affected by the first rollout will have been contacted already, and can expect to receive an updated confirmation date soon. 

          Users in groups two and three will be contacted soon with more information about when to expect these changes.
